Forwarding your Gmail to your CRM
Your CRM has its own inbox address, shown at the top of your Inbox - for example yourname@swiftagentsites.com. Anything sent there becomes a conversation in your CRM, filed under the person who wrote it. Forwarding sends your Gmail there automatically.
1. Add your CRM as a forwarding address
- Open Gmail on a computer (this setting is not in the phone app).
- Click the gear at the top right, then See all settings.
- Open the Forwarding and POP/IMAP tab.
- Click Add a forwarding address, type your CRM address, then Next, Proceed and OK.
2. Confirm it from your CRM
- Gmail sends a confirmation email to your CRM address. Open Inbox in your CRM.
- Open the email from Gmail (Gmail Forwarding Confirmation).
- Click the link in it - or copy the code into the box in Gmail's forwarding settings and click Verify.
3. Choose what gets forwarded
Everything: in Forwarding and POP/IMAP, choose Forward a copy of incoming mail to your CRM address and keep Gmail's copy in the Inbox. Click Save Changes.
Only work email (best if this is also your personal Gmail):
- Click the sliders icon at the right of Gmail's search bar.
- Say what to catch - for example in From:
zillow.com OR realtor.com, or a word likeshowingin Has the words. - Click Create filter, tick Forward it to, choose your CRM address, and click Create filter.
4. Test it
Send yourself an email from another account. Within a minute it appears in your CRM inbox.
Good to know
- When you reply from the CRM, their answer comes back to the CRM on the same conversation.
- Replies sent from the CRM do not appear in Gmail's Sent folder - the CRM conversation is the record.
- Want some mail private from teammates? Forward it to your personal address instead.
- Using Outlook? In Outlook on the web: Settings, Mail, Forwarding, turn on forwarding, enter your CRM address, tick Keep a copy of forwarded messages, and Save.
